This cancellation and refund policy below covers, but is not limited to, Convention registration fees, Convention activities requiring additional fees, and exhibitor table fees.
1. The 45th NNGC 2025 Convention will fully refund registration and extra fare fees (minus a $20.00 administrative fee in all cases) until April 1st, 2025.
2. No registration and/or extra fare fees refund requests will be accepted, or refunds approved, after July 1st, 2025 through, and past the Convention.
3. VENDOR Registration Refund Policy: A full refund of the vendor registration, less 50%, will be provided from April 1, 2025 through June 30, 2025.
4. VENDOR Registration Refund Policy: No refund will be issued for cancellations July 1, 2025.
All refund requests shall be made in writing (emails are acceptable) to the 45th NNGC Executive Board. Approved refunds will be processed and will be refunded by the dates listed above, or after the close of the Convention via payment by check.
All requests for cancellation refunds shall made be prior to the beginning of the Convention. No requests shall be accepted after the start of the Convention, September 3, 2025. Registrants and vendors who fail to attend the Convention without making prior arrangements will not receive refunds. No refund will be granted on unused extra fare tickets, tour tickets, or modeling clinic fees.
All refund requests must be submitted to the 45th NNGC Executive Board and will be considered on a case-by-case basis. The 45th NNGC Executive Board will, at their discretion, decide the validity of the refund request, and is the only body authorized to make refunds. Their decision is final. 2. The 45 th NNGC will refund one half of a canceled registration and / or extra fare fees (minus a $20.00 administrative fee in all cases) between May 31st and June 30th 2025.
3. No registration and/or extra fare fees refund requests will be accepted, or refunds approved, after June 30 th 2025 through, and past the Convention. If you must cancel after June 30 th , 2025, please inform us so that any extra fare vacancies can be filled with wait-listed persons. (If we have wait listed persons who register for your canceled extra fare, (your fee for the extra fare will be credited).
VENDOR Registration Refund Policy:
4. The 45 th NNGC will consider A full refund of a canceled vendor registration and / or extra fare fees, (minus a $20.00 administrative fee in all cases) until March 31 st , 2025.
5. The 45 th NNGC will refund one half of the canceled vendor registration and / or extra fare fees (minus a $20.00 administrative fee in all cases) between April 1 st and June 30 th 2025.
6. No refunds will be issued for cancellations after June 30 th , 2025. Please inform us if you will not attend so that any extra fare vacancies can be filled with wait-listed persons. (If we have wait listed persons who register for your canceled extra fare, your fee for the extra fare will be credited).

The committee for the 45th National Narrow Gauge Convention is keeping a close eye on the COVID-19 question and how it impacts our event.
Our Safety and Security Coordinator spent 35 years in fire service and emergency management. We are anticipating full access for all our guests to venues without the use of masks, requirements for testing, proof of vaccination or any other restrictions. Because mask requirements are still in flux and vaccination questions are still with us, we ask that each person attending the convention be prepared with a mask at all times and carry proof of their vaccination status if you have received the injection(s).
Requirements for masks on some public transportation and all medical facilities are still in place at this time. Of course, layout owners may choose to require masks and/or proof of vaccine when you visit their homes. Please respect their choices and be prepared to comply. And as always, you can choose to wear a mask even if one is not required.
Additionally, convention volunteers will be briefed on fire evacuation, earthquake procedures and active shooter. The Committee cares deeply about your safety and comfort and will update the FAQ if there are changes as we get closer to the event.
